Client Privacy Notice
For parents using our cord blood, cord tissue and placenta storage services · Version [1.0] · Effective 1st of October 2026.
This notice explains how Cells BioScience FZ LLC (“CBS”, “we”) collects, uses, shares and protects personal information about you and your child when you use our services. It forms part of, and should be read with, your CBS Service Agreement.
1. Who we are
Cells BioScience FZ LLC, Building 24, Premises 3 & 4, Ground Floor, Dubai Healthcare City, Dubai, United Arab Emirates (Commercial Licence No. 1398; Dubai Health Authority licence No. 1441002). We decide how and why your information is used. Where you choose UK storage, our UK company, Cells BioScience Ltd, 128 City Road, London EC1V 2NX, United Kingdom, arranges that storage with us.
2. What information we hold
- Parent details: names, dates of birth, nationality, addresses, phone numbers, email addresses and signatures.
- Birth details: expected delivery date, hospital, obstetrician or midwife, and the country of collection.
- Health information: the mother’s medical questionnaire, maternal blood test results (including infectious-disease tests), and relevant medical records.
- Sample information: your child’s sample records, including volume, cell counts, viability, sterility results, storage location and, where relevant, HLA typing.
- Account information: plan and payment details, correspondence, consents you have given, and any release or transfer requests.
Health information is sensitive. We collect only what is needed to provide the service safely and to meet regulatory requirements.
3. Why we use it
- To perform your Service Agreement: to supply the collection kit, arrange collection and transport, and process, test, store and release your child’s samples.
- To meet legal and regulatory duties: under Dubai Health Authority and Dubai Healthcare City requirements, the rules of the UK Human Tissue Authority (for UK storage), and other applicable laws. This includes keeping records and reporting where required.
- With your consent: for health information and for any optional consents you choose in the Agreement, such as quality-control use. You can withdraw an optional consent at any time.
- For our legitimate business needs: for account administration, contacting you about your storage, and recovering unpaid fees.
We do not sell your information, and we do not use it for marketing by third parties.
4. Who we share it with
We share only what is necessary, and only with:
- the hospital, doctors and midwives involved in collection, and any transplant centre or treating doctor when samples are released;
- courier and logistics providers that transport kits and samples;
- accredited laboratories that perform testing for us;
- the licensed UK storage establishment, if you choose UK or split storage;
- Med Cells International FZ LLC and our authorised representatives in your country, which help with enrolment, customer service and payment collection on our behalf;
- our partner laboratory under the CellAccess Programme, only if you enrol and make a request;
- IT, cloud-hosting and communication providers that support our systems, under confidentiality and data protection terms;
- regulators and authorities, including the Dubai Health Authority, where the law requires; and a licensed successor storage provider, if your samples must be transferred under your Agreement.
5. Where your information is kept
Your health information and sample records are stored and processed in the United Arab Emirates. Your information leaves the UAE only where this is lawful and needed to provide your service, for example:
- where your samples are collected in another country;
- where you choose UK storage;
- where samples are released to a treating centre abroad; or
- where you use the CellAccess Programme.
In each case we send only the information required and protect it with contractual and technical safeguards. These transfers are made in line with the UAE Personal Data Protection Law (Federal Decree-Law No. 45 of 2021), UAE Federal Law No. 2 of 2019 on health data, the UK GDPR and Data Protection Act 2018, and the data protection laws of the country where your samples are collected.
6. How long we keep it
We keep your information for as long as your child’s samples are stored with us. After that, we keep it for the period required by health record-keeping rules once the samples have been released, transferred or disposed of. When your child reaches 18, control of the samples and related records passes to them under your Agreement.
7. How we protect it
We protect your information with restricted access, coded and bar-coded sample labelling, secure databases with backups, and confidentiality obligations on our staff and suppliers.
8. Your rights
Subject to applicable law, you may ask us to:
- give you a copy of your information;
- correct anything that is wrong;
- delete information we no longer need to keep;
- restrict or object to certain uses;
- transfer your information to you or another provider; or
- withdraw any consent you have given.
Some records must be kept by law while samples are stored, so we may not be able to delete them. If you are unhappy with how we handle your information, please contact us first. You may also complain to the UAE Data Office or the Dubai Health Authority. For UK-stored samples, you may complain to the UK Information Commissioner’s Office. You may also complain to the data protection authority in your own country.
